Policy Brief & Purpose
Persinger County is committed to supporting its employees who have been authorized to work from home. This Work From Home Equipment Reimbursement Policy aims to ensure that all employees have access to the necessary equipment to perform their job duties effectively while working remotely.
Scope
This policy applies to all employees of Persinger County who have been approved by their respective department heads to work from home on a regular or occasional basis.
Policy Elements
Eligible Equipment
Employees are eligible for reimbursement for the following categories of equipment, deemed necessary for the performance of their job duties:
1. Computer Hardware: Laptops, desktops, monitors, keyboards, mice, and necessary cables.
2. Communication Devices: Headsets, webcams, and microphones.
3. Office Furniture: Desks, chairs, and filing cabinets.
4. Internet Connectivity: Routers and necessary networking equipment.
Ineligible Expenses
The following items will not be considered for reimbursement:
- Office decor and miscellaneous items not directly related to job performance.
- Consumables like paper, ink cartridges, or stationery.
- Equipment already provided by Persinger County.
Reimbursement Process
1. Pre-Approval: Employees must obtain pre-approval for equipment purchases by submitting an Equipment Reimbursement Request Form to their department head.
2. Purchase: After receiving approval, employees may proceed with the purchase.
3. Reimbursement Claim: Employees must submit a Reimbursement Claim Form along with original receipts within 30 days of the purchase.
4. Review: The Finance Department will review the claim for compliance with this policy.
5. Reimbursement: Approved reimbursements will be processed and paid out in the next payroll cycle.
Limits
- The maximum amount reimbursable per employee for a period of three years is $1,000.
- Single items or sets of items that exceed $500 require additional justification and approval from the County Administrator.
Ownership
All equipment purchased and reimbursed under this policy remains the property of Persinger County. Upon termination of employment or at the request of Persinger County, the employee must return the equipment in good working condition.
Other Provisions
- Persinger County reserves the right to specify preferred vendors and models.
- The County may also provide employees with the option to use County-owned equipment if available.
- Employees are responsible for the maintenance and repair of reimbursed equipment.
Amendments
This policy may be amended at any time without notice, and Persinger County reserves the right to revoke this privilege in circumstances of policy abuse or budgetary constraints.
